How to use this work hours calculator
- Choose Simple calculation for a repeated schedule, or Detailed timesheet for actual dated shifts.
- In Simple calculation, enter hours per day or start/end times, unpaid break minutes and working days per week and month. If your daily hours already exclude breaks, leave unpaid breaks at 0.
- Open More schedule options for paid breaks, an overnight shift or a monthly estimate based on repeated weeks. Add a rate and your own overtime rules under optional settings when pay matters.
- Choose Calculate. Compare paid and working hours, decimal hours, regular time, overtime and estimated gross pay.
- Download CSV, print a report or choose Save entries to keep the inputs in this browser. Use Detailed timesheet for changing shifts, rate overrides and multiple weeks.
From one day to weekly and monthly hours
Simple calculation repeats the daily schedule you enter. Paid hours equal shift length minus unpaid breaks; working hours also exclude paid breaks. With no additional overtime rules, weekly paid time is daily paid time multiplied by working days per week. Monthly paid time is daily paid time multiplied by the monthly working-day count.
| Period | Paid hours | Decimal hours |
|---|---|---|
| One day | 7:30 | 7.50 |
| One week | 37:30 | 37.50 |
| One month | 165:00 | 165.00 |
At a rate of 20 and without overtime, this example gives estimated gross pay of 150 per day, 750 per week and 3,300 per month. A rate of 0 produces an hours-only calculation. Time totals are displayed in hours and minutes (hours:minutes) as well as decimal paid hours.
Choose working days for a month when you know how many days you plan to work. Choose Repeated weeks to scale a weekly schedule, including decimals such as 4.33. Average month uses 52 weeks ÷ 12. These projections do not infer holidays, annual leave, actual calendar dates or which weekdays you work.
Hourly pay, breaks and overtime assumptions
None is the default overtime rule. Weekly applies the entered threshold once per model workweek; Daily applies it to each day; Combined classifies daily overtime and optional double time first, then compares remaining regular eligible hours with the weekly threshold. Minutes are paid once. You can choose whether paid breaks count toward overtime.
Gross pay = regular hours × rate + overtime hours × rate × overtime multiplier + double-time hours × rate × double-time multiplier. For example, five 8:30 paid days with weekly overtime after 40 hours give 40:00 regular hours and 2:30 overtime. At a rate of 20 and a 1.5 multiplier, weekly estimated gross pay is 875.00.
For a monthly working-day estimate, the tool groups complete model weeks and a remaining partial week, assuming the month starts at a workweek boundary. Twenty-two days with a five-day week means four complete weeks plus two working days. Actual calendar-month overtime can differ when a month begins or ends partway through a workweek. Repeated-week and average-month options scale the weekly estimate proportionally.
Use your actual pay policy. The calculator does not determine employment status, local overtime law, exemptions, statutory regular rates, taxes, deductions, tips, bonuses or holiday premiums. Detailed shift overrides use that shift’s rate; a weighted-average statutory overtime rate is not inferred.
Detailed timesheets and overnight shifts
Use Detailed timesheet as a time card calculator for actual dates, with multiple shifts per day, paid and unpaid breaks, project notes, rate overrides and several weeks. Choose any workweek start day, copy a repeating week and export the current week or all included weeks. Switching between Simple and Detailed keeps both sets of inputs.
An overnight 22:00–06:00 shift lasts eight hours before breaks. End next day is selected automatically when a completed end time is earlier than the start time; you can also set it manually. In Detailed mode, the whole shift belongs to its start date and that date’s workweek. Split at midnight and allocate actual breaks to the correct row if your policy requires calendar-date allocation. Use 00:00 with End next day to finish the first part at midnight.
Adjacent shifts are allowed, but overlapping shifts are rejected across all included weeks. Equal start/end times represent zero time unless End next day is selected for a 24-hour shift. The calculator uses entered wall-clock times and does not infer time zones or daylight-saving clock changes.
Useful for employees, freelancers and teams
- An employee with a fixed daily shift can estimate weekly hours and a month with known working days in a few inputs.
- A freelancer working three days per week can compare a repeated four-week plan with an annualized average month and add their own hourly rate.
- A small business with split shifts can use dated entries, project notes and per-shift rates, then review daily and weekly reports.
- For a biweekly timesheet, enter two pay weeks, keep each week’s overtime calculation separate and export one combined work-hours report.
For a dated monthly report, enter only the dates you need in Detailed mode. Include complete workweeks if their overtime threshold depends on hours outside the month. The simple estimate is useful for planning; it is not a substitute for those missing records.
Save your inputs and export reports
Save entries stores the named simple schedule, detailed entries, mode and pay settings in this browser. Selecting an existing saved timesheet and saving again updates that record; choose the empty saved selection to create another record. Old detailed saves and backups remain readable. Clear all resets the editor and settings while keeping saved records.
Download backup keeps an editable copy for Restore backup. A CSV report is for viewing and spreadsheets, not for restoring inputs. Simple CSV and print reports show daily, weekly and monthly estimates with assumptions. Detailed reports show dated shifts, breaks, rates, daily totals and weekly totals. Print / PDF opens the browser’s print dialog; choose Save as PDF there to create a PDF.
Calculations, local saves and report generation occur in the browser. This page does not upload your hours or pay data to the account backend. Save Tool uses existing account Favorites for the page link only. Local saves do not sync across devices; browser cleanup or private browsing can remove them. Keep sensitive backups private and save only on a device you trust. Existing shared website analytics and account policies still apply.
Accuracy, compatibility and troubleshooting
Enter whole-minute breaks and complete times. The daily shift must be above zero and at most 24 hours. Choose 1–7 weekly working days or 0–31 monthly working days. Hours accept decimal values that represent whole minutes, such as 7.5, or hours:minutes, such as 7:20. If a partly completed detailed row is a day off, clear its notes, override rate and break values.
Decimal hours divide minutes by 60: 7:45 is 7.75 hours, not 7.45. Fractional weekly/monthly projections retain their fractions for pay calculations; displayed hours:minutes round to the nearest minute and decimal hours to two places. Final pay rounds once to the selected money precision, so separately rounded rows can differ slightly from the rounded total. Currency labels do not convert money.
Use a modern browser with JavaScript enabled. Time-field presentation follows the device’s 12-hour or 24-hour format; reports use 24-hour times. Browser storage or downloads may be blocked or full. The page reports failures and does not automatically overwrite unreadable saved data; use a backup when storage is unavailable. Mobile print/PDF options depend on the browser and operating system.

Frequently asked questions
How can I calculate a week or month from one day\u2019s work?
Use Simple calculation. Enter daily hours or start/end times, unpaid breaks and working days per week. Enter working days per month, or choose repeated weeks or an average month under More schedule options. Monthly totals assume the same daily schedule and are estimates.
What changes when I choose working days, weeks or an average month?
Working days multiplies daily time by your monthly day count. Overtime assumes complete model weeks plus a remaining partial week, starting at a workweek boundary. Weeks scales one repeated week, including fractional weeks. Average month uses 52 weeks divided by 12. Use Detailed timesheet for actual calendar dates and partial workweeks.
How do paid breaks, unpaid breaks and overnight shifts work?
Unpaid breaks reduce paid hours; both paid and unpaid breaks reduce working hours. Paid breaks stay paid. Choose whether they count toward overtime. Start/end input supports End next day for overnight shifts. Detailed overnight shifts are assigned to their start date; split a shift at midnight when your policy requires calendar-date allocation. Clock changes and time zones are not inferred.
How are overtime and estimated pay calculated?
Enter your own daily or weekly thresholds, rate and multipliers. Combined applies daily overtime and double time first, then weekly overtime only to remaining regular eligible hours. Regular, overtime and double-time minutes receive their respective rates once. Pay excludes taxes, deductions and unentered payments; mixed detailed shift rates are applied per shift without a weighted-average statutory rate.
Can I keep an actual timesheet with different shifts and several weeks?
Yes. Choose Detailed timesheet for actual dates, multiple shifts per day, rate overrides, project notes and multiple weeks. Copy a week when its schedule repeats. Overlapping shifts are rejected. Current week or All included weeks controls the detailed report. Switching modes keeps both sets of inputs.
How do Save Tool, Save entries and backups differ?
Save Tool stores this page\u2019s link in existing account Favorites. Save entries stores the named schedule, detailed entries and settings in this browser; save again after edits. Download backup keeps an editable copy for Restore backup. Old detailed timesheet saves remain supported. Browser cleanup, private mode or device changes may remove or hide local saves; they do not sync to your account.
Can I download CSV or a printable PDF report?
Yes. After calculating, download a UTF-8 CSV or use Print / PDF and choose Save as PDF in your browser. Simple reports contain daily, weekly and monthly estimates; detailed reports contain dated shifts and totals. Three related tools appear after the requested download or print action without scrolling. Browser dialogs control the actual file saving.
Why does a result fail or differ from payroll?
Check that times are complete, shift length is above zero and at most 24 hours, and whole-minute breaks do not exceed it. Use 1\u20137 weekly working days and 0\u201331 monthly working days. Detailed shifts must not overlap. Fractional projections round hours:minutes to the nearest minute; pay totals round once. Payroll rules, calendar boundaries, clock changes and transaction-level rounding may differ. If saving fails, download a backup; unreadable local saves are not overwritten automatically.
